LSL Balances to show correct "weeks" values

ichris/chris21 is able to display balances for leave as weeks via LTR. The weeks value uses the hours value of leave in LAC divided by the POS Hrs/Week value to determine a week. e.g an employee works 38hrs per week, as at their 10 year anniversary their LSL balance in LAC will show 494 hours (1.3 wks x 10 years x 38 hrs) so if we display balances in weeks, their balance on LAC will be 13 weeks. The problem is though if their hours per week changes, the leave balances in weeks changes too, and it should not. e.g today that employee had their 10 year anniversary so currently LAC shows 13 weeks (494 hours). Tomorrow, the employee changes to part time 19hrs per week. As the system uses LAC hrs / POS hrs to determine a week, this means the employees LSL Balance now shows as 26 weeks (494 hrs / 19hrs per week). This is incorrect. As per SA Legislation, an employee has 13 weeks per 10 years service, so their balance MUST remain at 13 weeks. As far as the employee is concerned, they only have 13 weeks in time off. What a week is paid at is a separate issue but when an employee see's their LSL balance, they should see 13 weeks not 26 weeks.

Reason for Suggestion
We are unable to show LSL balances on HR21 due to this issue. The week value should show the correct amount as per the relevant state's legislation, not a blanket value of LAC hours divided by POS hrs. It also impacts the LLR process when you report in weeks as again, it uses a blanket formula using POS.

Whenever we have someone change their hours per week, we do a conversion so their balance remains the same.
Chris21 even has a setting to do this for you, however we turned it off as I didn't like it doing it without overseeing it.

In your case we would take the 494hrs and ÷ by 38 then X by 19 = the new balance is 247hrs.
247hrs ÷ 19hrs per week = 13wks LSL
So their entitlement in weeks stays the same.
This also keeps their Liability $ amount the same as well (unless the new position came with an increase in their $ph).

Anyway, that's what we do.

The only issue with this process is the "hours" value should not be 19hrs per week. It may show the balance for the employee being correct but it would mean your leave liability would be understated as you are basing their 13 weeks on 19 hrs per week, but in actual fact if it is in SA, it would be based on their average hours over the last 3 years which would mean it is a lot more than 19hrs per week. Your leave provision would change from 494hrs x $ to 247hrs x $ when in actual fact it is average hrs over the last 3 years x $ (or in Victoria it would be average hrs over the last 12 months.5 years/full employment by $). The system needs to be able to accrue "weeks" and show "weeks" correctly.

Absolutely, also massive issue for NZ annual leave. System needs to record taken weeks and not "guess". Any workforce with variable "ordinary" hours I do not believe can be accurately recorded in iChris without cumbersome and time consuming workarounds. We do LVA adjustments and also have a complex process to incorporate for reporting purposes.
